We are looking for a Construction Office Assisant to help run the day-to-day office operations of our construction company. This role supports project managers, crews, vendors, and customers by handling scheduling, paperwork, billing, and general office tasks. You’ll help keep jobs organized, payments on track, and communication flowing.
Minimum 5 years of construction office experience required.
Responsibilities
Answer phones, schedule appointments, manage calendars, and handle general front office duties
Work with vendors by processing invoices, tracking payments, and ordering supplies using QuickBooks
Help with payroll, new employee paperwork, and maintaining employee files
Organize and maintain job files, contracts, permits, and other important documents
Assist with bookkeeping and job costing to help track project expenses
Communicate with project managers, crews, vendors, and customers to keep jobs moving
Follow up on paperwork, invoices, and deadlines as needed
Qualifications
At least 5 years of experience in a construction office or similar role
Strong organization skills and ability to handle multiple tasks at once
Clear communication skills, both written and verbal
Experience with scheduling, invoicing, and QuickBooks (or similar software)
Knowledge of payroll, employee onboarding, and basic HR tasks
Comfortable with filing, data entry, and general office work
Prior experience supervising or coordinating job site staff is a plus
